PRIVACY STATEMENT TFI VITAL GREEN

TFI Vital Green places our utmost importance on your privacy. The manner in which we protect and process your private data is outlined and explained in the following statement.

Specifically, this statement explains which data we process, when and for what purpose. The personal data you provide to us is always stored on secure servers and is not accessible to third parties.

Controller

This privacy statement applies to the processing of personal data by TFI Vital Green BV. TFI Vital Green BV is located at Tolakkerweg 118, Hollandsche Rading, The Netherlands.

Collection and processing of personal data

There are basic legal requirements in place for any processing of personal data. We never collect or process more personal data from you than is strictly necessary.

Personal data means:  all information about an identifiable or unidentifiable individual who can be identified directly or indirectly, such as name and address of aforementioned individual. When you enter into or have entered into an agreement with us or if you require a (new) service from us, we need to collect personal information from you for the purposes of fulfilling said services.

The Vital Green BV also uses personal information collected by us in this manner for relationship management. There is a legal obligation for us to collect this information in relation to entry into and  fulfillment of our service obligations to you.

The legal obligations may include monitoring of the organization or of our business operations. We need your personal information to conduct our business administration.

We may process your personal data for promotional and marketing purposes. The legal basis for this is legitimate interest.

It is possible that (public) authorities may request information about you from us. We are legally required to provide the requested data.

Provision of your data to third parties

Your personal data can be passed on to third parties if this is necessary for the implementation of contractual work assigned, if there is a legal requirement for us to do so, an obligation exists, or because we may need to use an external service provider in completion of contractual work or other related requests.  We always complete a data processing agreement with these third parties so that your data is also processed confidentially by them, parties are treated with confidentiality and the data are used exclusively in the context of our particular service goal.

Your rights in relation to your personal data

You have the right to view, change, transfer or delete any personal data we retain or use. You also have the right to refuse the use of your personal data. If you wish to view the personal data that TFI Vital Green has recorded about you, or should you wish to change, transfer or delete data, or file a complaint about the processing of aforementioned data, you can contact TFI via the contact form on our website, www.tfi.nl or by mailing info@tfi.nl.  TFI will contact you as soon as possible, generally within four weeks, regarding the outcome of any requested changes, transfers or deletions.

You may receive (commercial offers) from TFI. If you no longer wish to receive these offers, send an email to info@tfi.nl.

Security measures

TFI takes both technical and organizational measures in order to protect personal data against loss or any other form of unlawful processing. To do this, TFI utilizes the following security measures:

– Access control by means of personal USER ID and Password protection

– This USER ID and password protection also determines to which applications access is granted. There are certain access permissions granted to specific persons.

– TFI has its own closed network/server.

– Third-party processing agreements are in place.

– The entire computer system is backed up regularly.

– Employment contracts have a confidentiality clause.

– As soon at TFI becomes aware of any incident or data breach, TFI will inform the user of this. TFI will provide information about the nature of the breach, the data taken and the expected outcomes and consequences, including the counter-measures that TFI has taken and will take to remedy the breach. TFI will report the data breach within 72 hours, if required by the GDPR report to the Dutch Data Protection Authority.

Data retention period

We do not retain any personal data provided to us for longer than necessary for the purpose for which they were collected. Legal requirements apply to certain data retention periods. For example, we have a legal obligation to retain fiscal and administrative data for a period of seven years. Your specific invoices and payment details are required by law to be retained for this period. For personal data collected under context of work performed, there is a retention period in place of five years beyond completion of assignment or customer relationship. For example, in connection with, a work contract or relationship that has not yet been fully completed, for archiving, legal proceedings or for research or statistical purposes.

Website and (mobile) applications

Personal data can be collected and processed via the website (www.tfi.nl) and the apps.  The collection and processing of personal data via the website and the apps also fall under this privacy statement.  You can remove this permission at any time by contacting info@tfi.nl.

Cookies

When you visit our website or download one of our apps, a banner will appear, informing you about how we use and process cookies and requesting your consent.  Only after you have consented to the use of cookies, will they be placed or read. The remainder of the provisions of this privacy statement also apply to his use of cookies.

We use the following cookies:

– Functional cookies: Such as log-in session cookies to keep track of the session and login information.

– Analytical cookies: (Google Analytics): To gain insight into visits to the website or app, including visitor information and popular pages and topics.  We cannot see individual user identification information about visits to the website via computer, smartphone or tablet.

– Non-functional cookies: In order to show YouTube videos. Www.tfi.nl embeds YouTube videos in “Privacy mode.”  YouTube cookies are only created when you choose to play a YouTube video. A YouTube video may contain advertisements. The delivering advertisement service may also place cookies. Cookies are valid for varying periods.
